Before signing a CCTV AMC renewal, fix five things in writing: a response time in hours with a penalty, a named spare-parts list, a capped annual escalation, your own right to export footage, and what happens to recordings and passwords on exit. If you run a 200–1000 worker plant in Chakan, Hosur, Sanand, Ludhiana or Coimbatore, your AMC renewal probably arrives as a one-page quote with a total and a GST line. That page is where the vendor's margin lives and where control over your own footage quietly transfers to someone else. It deserves twenty minutes, once a year.

Preventive visits matter more in Indian plants than in offices. Foundry and grinding dust, textile lint, monsoon humidity in Coimbatore and Surat, and voltage swings on the shop-floor PoE run are what kill cameras in practice — rarely the sensor itself. A quarterly clean-and-focus visit is often worth more than an extra year of parts cover.

The rupee ranges — and where the margin hides

Treat these as negotiation anchors, not fixed prices. Rates vary by city, brand and whether the vendor also holds your installation warranty.

Two margin traps. First, the vendor prices AMC on installed camera count while a share of the cameras have been dead for months — you pay for corpses. Reconcile the camera list against a live view before signing. Second, "excluding HDD" in a comprehensive AMC. The footage clauses that decide whether you win the case

This is the section that separates a real AMC from a rent agreement for a technician.

Export rights. You should be able to export any clip yourself, at full resolution, in a standard container, without calling the vendor. Many Indian installs run on a vendor-branded VMS where the admin password sits with the integrator. Demand the admin credentials in a sealed handover, plus an owner-side account that can export.

Certificate support. Electronic evidence under the BSA 2023 regime needs a certificate in the prescribed format, with the hash value of the record and signatures from both the person in charge of the device and a technical expert. Write in that the vendor will produce his part of that certificate for any clip you request, within a stated number of days, for the life of the retention period — including after the contract ends.

Exit. On termination: all recordings remain your property, are handed over on a drive you supply within a set number of days, all vendor remote access is revoked, cloud accounts transfer to your email domain, and the vendor certifies deletion of any copy held on his servers. Without this clause, switching vendor can mean losing your archive.

Processor obligations. Worker footage is personal data. With DPDP obligations phasing in to May 2027, the AMC should bind the vendor to process footage only on your instruction, not to copy it, and to report any breach to you. Where the AMC and the new labour law meet

The Factories Act, 1948 is being displaced by the Occupational Safety, Health and Working Conditions Code, 2020, which consolidates 13 labour laws and came into force with the other three labour codes on 21 November 2025. Supporting central and state rules were still being notified at that point, so the operative detail for your plant is state-specific. The Code raises the factory threshold to 20 workers where power is used and 40 where it is not.

Practical AMC consequence: inspectors and buyer auditors increasingly ask to see something — a specific date, a specific gate, a specific shift. An AMC that guarantees a working export path is a compliance control, not an IT line item.

What an AMC will not fix — and where cameras do not help

Honest limits, because your vendor will not volunteer them.

  1. Reconcile the billed camera count against a live view today.
  2. Force the word "comprehensive" or "non-comprehensive" into the contract.
  3. Response time in hours, resolution in days, standby unit clause, credit for misses.
  4. Named preventive visit scope, four times a year, with a signed report per visit.
  5. Escalation capped at a fixed percentage.
  6. HDD explicitly in or out, with today's replacement price stated.
  7. Admin credentials held by you; an owner account that can export.
  8. Evidence-certificate support commitment, surviving termination.
  9. Exit clause: footage returned, access revoked, deletion certified.
  10. Data-processing clause naming the vendor as processor acting on your instruction.

Do the arithmetic on your own failure log from last year rather than accepting the vendor's default recommendation.

Does GST apply and can I claim credit? Maintenance and repair services fall under SAC heading 9987 and are taxed at 18%; verify the current rate on the CBIC rate finder, since service rates have been revised in recent GST reforms. A registered manufacturer can generally claim input tax credit on AMC used in the course of business. Confirm the treatment and the applicable TDS section — typically 194C or 194J — with your CA before releasing payment.

What one clause matters most? The export and exit clause. Response times can be renegotiated next year; footage you cannot retrieve is gone permanently. If you change only one line in the renewal, make it the one that guarantees you can pull and certify any clip yourself, whether or not the vendor answers the phone.
